I understand and will inform all guests that when renting the East Athens Educational Dance Center Presentation Hall:
STAFFING REQUIREMENTS FOR THE EVENT Required staffing for the event is necessary to ensure its efficient operations and success. The following are general staff descriptions in which any or all may be required for the event:
1. Facility Attendant (EAEDC staff person) – This person will open up the facility and unlock the rental spaces, answer any questions, and enforce all rules of the facility. The attendant will also explain where all of the tables, chairs, and other equipment are stored. The attendant is there is assist the Renter; however, it is the responsibility of the Renter to do his/her own setup and clean up. This person will consult with the Renter regarding any situation that may affect the opening of the facility or the start of the event. The Facility Attendant, in consultation with the Renter, is absolute with regard to times of opening and closing the facility, start-time of event and length of intermission, safety of staff and audience, and protection of the facility. The Facility Attendant is authorized to close an event for failure to comply with East Athens Educational Dance Center Facility and Rental Policies. Renter should report all facility problems to the Facility Attendant immediately.
2. Event Manager/Overseer (Renter) – The Renter (person that signs the Contract of Agreement) should be the sole person authorized to make decisions with the Facility Supervisor. The representative must be present at all time (setups, rehearsals, performances, events, etc.) and will be the sole person authorized to resolve problems and conflicts, or to negotiate any changes to the event with the Facility Supervisor and/or Facility Attendant. Access to the facility will be denied unless this person is present.
3. Ushers – The Renter is responsible for providing ushers for the event. The East Athens Educational Dance Center reserves the right to supervise the services of all ushers. All events must have the appropriate number of ushers which will be determined by the Facility Supervisor based on the type of event and number of patrons. Ushers will receive training on EAEDC rental and facility policies and procedures. All ushers must be responsible adults and are asked to follow the facility rules strictly. It is the responsibility of the ushers to ensure that:
• No food or drinks are brought into the event if not stated in the contract. • Furniture is not abused. • Equipment is not tampered with. • Children are not running around distracting the event or other patrons, or being disruptive in the facility. • Patrons do not reorganize the table and/or chair arrangements. • All aisles remain free of obstacles (including patrons). • All facility policies are adhered to. • Patrons are not entering unauthorized areas. • The safety and comfort of the event patrons are maintained.
4. Authorized Trained Technical Support – Lighting technician, sound technician, stage manager, etc. are required for a performance-type event. Renter must provide technical support at own expense.
5. Ticket Sales - The Renter is responsible for providing a person to sell tickets the day of the event.
6. Custodial – The Renter must clean all areas of the rental space, including restrooms. Rental space should be returned to pre-event conditions. Renters are responsible for the clean up and removal of all trash and materials after the event.
7. Adult chaperones are required for youth activities/events. Minors (under the age of 18 years) must be under the immediate and close supervision of an adult over the age of 18 at all times. Under no circumstances are minors permitted to wander throughout or exit the building without an adult. Youth activities/events composed of minors must be chaperoned by one (1) adult for every twenty (20) minors.
• No balloons are allowed in the Presentation Hall. • Do not touch, tamper, or adjust the backdrop, cyclorama, wings, curtains, or marley flooring. • No street shoes on the marley. • Use only the spaces that have been reserved. Unauthorized use of other areas is not permitted. |
